How SponsorGuard works

From connecting your existing data to generating UKVI audit packs — here is how teams get started and stay compliant.

1

Step 1

Connect or upload your data

  • Import your workforce from a spreadsheet (CSV/Excel) or your HR/payroll export, and upload your Certificate of Sponsorship (CoS) PDFs — SponsorGuard extracts and keeps them as your searchable system of record. SponsorGuard auto-maps common column headers (CoS reference, visa expiry, worker name, role, site) from your file.
  • Review the auto-mapped columns, resolve any gaps, and confirm the mapping. Your compliance baseline is ready once you confirm.
  • You can also connect absence data via CSV file upload or the HRIS connector path (Workday, SAP, BambooHR via Merge, Finch, or Kombo).

Step 2

Monitor your compliance duties

  • SponsorGuard surfaces every active monitoring signal: Right-to-Work evidence and repeat checks, visa and eVisa expiry windows, SMS reportable-event deadlines, absence monitoring flags, and missing or unreviewed documents.
  • Priority views filter by worker, site, owner, and deadline proximity so the right person sees what needs attention.
  • Every signal is linked to the relevant worker record so context is always one click away.

Step 3

Get alerted before deadlines arrive

  • Tiered RTW recheck alerts fire at T-90, T-60, T-30, T-14, T-7, and overdue — well before action is needed, not after.
  • Visa and eVisa expiry reminders and SMS reporting deadline warnings surface in the same priority flow.
  • Every alert is owned: the compliance lead or HR manager assigned to the worker receives the notification.

Step 4

Generate UKVI audit packs on demand

  • One-click Appendix D evidence assembly per sponsored worker draws on the running evidence record: documents, review status, RTW history, absence records, and SMS event logs.
  • A pre-visit self-assessment questionnaire, grounded in current Home Office guidance, structures the internal readiness review.
  • Your team reviews and authorises all outputs before use — nothing is submitted automatically.

  • Available to both enterprise compliance teams and immigration solicitor firms. Not a generic chatbot.
  • AI-assisted outputs require authorised human review before any submission or action. CortexAI does not provide immigration legal advice.
